Copier Troubleshooting
Office copier showing "offline"? Start here.
When a copier shows offline, the copier itself is usually fine. Windows has lost track of where it is on the network. Here is what causes it, what you can check yourself, and when to call us.
Most common cause
The copier's IP address changed.
- Copies work at the machine, but nobody can print to it.
- Some computers can print and others show offline.
- It started after a power outage, new router, or internet change.
- Print jobs sit in the queue and never come out.
Quick checks before you call
These take a few minutes and solve many offline problems. Stop if you are not comfortable changing settings.
What usually causes a copier to show offline
Offline is a symptom, not a diagnosis. These are the causes we find most often in Orange County offices.
IP address changed
The copier got a new address from the router, but computers are still sending jobs to the old one. A reserved or static IP prevents this.
New router or modem
A new internet provider or router often changes the network range. Every printer port then points to an address that no longer exists.
Wrong driver or port
Windows updates or WSD ports can cause copiers to drop offline. A standard TCP/IP port with the correct driver is more reliable.
Deep sleep settings
Some copiers stop responding on the network in deep sleep. Adjusting the energy settings usually fixes it.
Print server problems
If printing goes through a server, a stopped spooler service or an outdated shared driver takes every user offline at once.
Network hardware
A bad cable, a failing switch port, or weak WiFi on the copier can cause it to go offline on and off.
Why it happens after a power outage
Most office routers hand out IP addresses automatically. After an outage, devices reconnect in a different order and the copier may receive a different address. The computers are still pointed at the old one, so the copier shows offline even though it is working.
The permanent fix is to give the copier a fixed address, either a DHCP reservation in the router or a static IP on the copier, and then point each computer's printer port at that address.
When only some computers show offline
If some computers print and others do not, the copier and network are usually fine. The affected computers typically have an old port, a different driver, or were set up through a method such as WSD that does not handle address changes well. Removing and re-adding the copier correctly on those computers normally fixes it.
When to call a technician
Call for help if the copier cannot get a network address at all, if it goes offline repeatedly, if your office uses a print server, or if you do not have access to the router. These need someone who can look at the network as well as the copier.
How we fix offline copiers
- Step 1
Check the copier
Confirm the network settings, IP address, and sleep configuration on the machine.
- Step 2
Check the network
Verify the cable, switch port, router, and that the address is reserved.
- Step 3
Fix each computer
Set the correct driver and a standard TCP/IP port on every affected computer.
- Step 4
Test & document
Test printing and scanning from each workstation and record the settings for next time.
FAQ
Common questions
Why does my copier say offline when it is turned on?
Usually the computer is trying to reach the copier at an old IP address, or the printer port or driver is wrong. The copier itself is often working normally.
Why does the copier keep going offline?
Repeated offline problems are usually caused by a changing IP address, deep sleep settings, WSD ports, or an unreliable network connection. Fixing the address and port normally stops it.
Can I fix an offline copier myself?
Sometimes. Restarting, clearing the queue, and checking the IP address solve many cases. If you need to change router settings or the problem keeps coming back, it is faster to have a technician fix it once.
Do you fix offline copiers on-site in Orange County?
Yes. We troubleshoot copier, printer, and network printing problems on-site for businesses throughout Orange County, including Canon, Sharp, Kyocera, HP, and Brother equipment.
